Privacy policy

1. Overview
Airon Systems is committed to protecting the privacy of individuals who interact with our website and services. This policy outlines how we collect, use, store, and disclose personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles.
2. Information we collect
We may collect the following information when you contact us or engage our services:
- Name, email address, and phone number
- Organisation name and role
- Technical and operational information relevant to engagements, including calculator scenarios, intended models, budgets and configurations saved in our infrastructure planner
- Anonymous usage counts showing which parts of our interactive tools people reach, described in section 7
3. How we use information
We use personal information to:
- Respond to enquiries and service requests
- Deliver our advice, workshops, AI projects, hardware and ongoing support
- Improve our website and service offerings
- Comply with legal and regulatory obligations
4. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.
5. Sharing with third parties
We do not sell or rent personal information to third parties. We may share information with trusted service providers who assist in our operations, subject to appropriate confidentiality agreements. We may also disclose information where required by law.
6. Client project data
Information you share with us during reviews, workshops and projects is treated as confidential. Specific data handling obligations are defined in individual service agreements. We do not use client operational data for any purpose outside the scope of the agreed engagement.
7. Cookies and analytics
This website sets no advertising or tracking cookies. Cookies are used only where a feature cannot work without one, such as keeping you signed in to our infrastructure planner.
We use Vercel Web Analytics, from our hosting provider Vercel, to count visits to our pages and downloads of our capability statement. It sets no cookies and does not identify you: it records the page, the referring website, your country and the type of device and browser, and Vercel processes those counts for us under its own privacy policy.
We do measure how our interactive tools are used, so we can tell which parts people find unclear. That measurement records only the step reached and the option chosen from a fixed list, for example that a visitor opened the hardware step or selected a desk-side AI computer. It does not record your name, your email address, your IP address, your browser, the figures you enter, or anything you type into a free-text field. Events are grouped by a random value held in your browser’s memory for the length of one visit and discarded when you close the tab; it cannot be linked to you or to any other visit. Counts are deleted after 120 days.
We honour the Global Privacy Control and Do Not Track signals. If your browser sends either, nothing is measured or counted at all. Anything you deliberately submit, such as an enquiry, is covered by the sections above instead.
8. Tai, enquiries and bookings
Tai is an AI guide you can talk or type to on this website. It is off until you start it, it says that it is an AI, and it asks before using your microphone. While it is on, your voice or typed messages go to ElevenLabs, which turns speech into text and speaks the reply, and the text of the conversation goes to OpenAI, which writes the reply. Each processes it under its own privacy policy (ElevenLabs privacy policy (opens in a new tab), OpenAI privacy policy (opens in a new tab)). This website does not store transcripts.
Tai may ask about your business, your role, your timing and where you are based, to work out whether a conversation with our team would be useful. Nothing you tell it is saved by us unless you ask to be contacted. If you do, whether through Tai, the enquiry form, the cost calculator or a request for a walk-through of our capability statement, we store your name, work email address, business name, a phone number if you want a call, how you prefer to be contacted, what you told us you need, a short summary (including any setup or estimate you chose to attach, and a link to it), the page you contacted us from, any answers you gave about your business (such as its size, your role, your timing and where you are based) and whether you booked a call, in our customer relationship system so we can follow up. That system is our own installation of LitCRM, hosted on Cloudflare with a database in the United States; we do not sell or share the record, and you can ask us to correct or delete it at any time using the contact below.
Booking a call opens Calendly. If you book through Tai, your name and email address are filled in; if you book from Find your setup or the enquiry form, any answers you gave in Find your setup are added as a note to the booking. Calendly processes the booking under its own privacy policy and sends the calendar invitation; we record that a call was booked and Calendly's links to it. Nothing is stored in your browser, and the microphone is released the moment you end or close Tai. For Tai, the usage counts described in section 7 record only that it was opened, connected or ended, whether you talked or typed, and how far a conversation got, never what was said.
9. Your rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us. We will respond to requests in accordance with the Australian Privacy Principles.
10. Changes
We may update this policy from time to time. Changes will be posted on this page with a revised date.
